Most Clinics Lose the Booking in the First Reply

Most Clinics Lose the Booking in the First Reply

Almost every new patient opens with some version of the same question: how much is it? Most clinics answer it in one of two ways, and both of them lose the booking. Here is the third option, and why it works.

Almost every new patient opens with some version of the same question: how much is it? Most clinics answer it in one of two ways, and both of them lose the booking. Here is the third option, and why it works.

"How much is Botox?"

It is the most common first message a clinic gets. It is also the one most clinics answer badly, and the answer usually decides whether she books.

1. She Is Not Really Asking About Price

She is asking because it is the only question she knows how to ask.

She cannot ask how many units she needs, because she does not know what units are. She cannot ask if her forehead is a good candidate for anything. Price is the one thing she is confident she is allowed to ask about, so that is the door she knocks on.

Treating that question as a price objection is a mistake. It is an opening line.

2. The Two Answers That Lose

The first is the hard quote. Someone replies with a number per unit, and the conversation is over. She now has a figure with no context, which she will compare against the clinic down the road, and the only thing left to compete on is who is cheaper. You just entered a race you do not want to win.

The second is the total dodge. "Prices vary, please call the clinic to book a consultation." She reads that as evasive, or expensive, or both. She closes the app.

The American Society of Plastic Surgeons says outright that injectable costs vary widely and depend on provider expertise among other factors. That is true, and it is exactly why the dodge feels dishonest. You are not hiding anything, but the silence sounds like you are.

3. The Answer That Works

Give her something real, then give her a reason the number is not final, then give her a next step. In that order.

Something like this.

"Great question. Most first time treatments with us land somewhere in the [range], but it really depends on how many areas you want treated and what you are going for. Our consults are free and take about twenty minutes, and you would get an exact number before anything is booked. Want me to grab you a spot this week?"

Three things are happening there. She gets a real anchor, so she can decide whether you are in her world. She gets an honest reason the number varies, which builds trust instead of eroding it. And she gets a specific next step that costs her nothing.

Notice what is not in there. No units. No opinion on what she needs. No suggestion that anyone can tell what is right for her face over text.

4. Put Starting Ranges on Your Website

"Call for pricing" filters out the price shoppers, which is the argument for it. It also filters out the patient who has the money and just wanted to know if she was in the right place before she got emotionally involved.

Starting ranges do the qualifying for you, quietly, without a conversation. She either self selects out, which saves everyone time, or she arrives already comfortable with the number.

This matters more than it used to. In 2024 there were roughly 9.9 million neuromodulator treatments and 5.3 million hyaluronic acid filler treatments performed in the US alone, according to the ASPS Procedural Statistics Report. Neuromodulators were up 4% year over year. She has options. Being the easy one to get information from is a real advantage.

5. The Line That Does Not Move

Ranges are fine. Anything clinical is not.

How many units she needs, whether she is a candidate, whether it is safe alongside something else she takes, what will happen to her specific face. None of that gets answered by text, by front desk staff, or by anything automated. Injectables are medical treatments and that assessment belongs to a licensed provider in person.

The good news is that boundary is easy to say warmly. "That is exactly the kind of thing I want one of our providers to answer properly for you rather than me guessing." Nobody has ever been annoyed by that sentence.

6. Make It Happen Every Time

The hard part is not knowing the right answer. It is that the right answer has to be given within minutes, at 9pm, on Instagram, while you are holding a syringe.

That is the part we handed to June. She gives the range, holds the line on anything clinical, and offers the consult, whether or not anyone is free to reply.

Do This Today

Write your one paragraph price answer down. The range, the reason it varies, the offer of a consult.

Send it to everyone who touches your inbox. Put starting ranges on your site.

Then go find the last ten people who asked about price and never booked. Some of them are still deciding.

Common Questions

Should med spas put prices on their website?
Starting ranges, yes. Exact quotes, no. Ranges pre qualify patients before they ever message you, while exact numbers invite direct price comparison and cannot account for how many areas a patient wants treated.

How do you handle a patient who says a treatment is too expensive?
Do not discount, and do not argue. Price resistance almost always means the value has not landed yet, so return to what she actually wants to change and what the consult would tell her. If it is truly out of range, say so kindly. That honesty is worth more than a discounted booking.

Can staff quote units or dosage over text?
No. Units are a clinical decision made by a licensed provider after assessing the patient in person. Quoting them remotely is both bad practice and a real liability, no matter how confident the person asking sounds.
